  1. The BCI reserves the right to reject any webinar proposals they do not consider suitable or relevant to the BCAW+R 2025 campaign and/or its theme without providing any reason.
  2. For BCAW+R 2025, the BCI daily themes for the webinars, presenters should select the theme that they wish to present and produce a presentation relevant to the selected theme.
  3. The webinar submission must be educational and must not include:
    • Product/services sales/marketing promotions or demos.
    • Product/client case studies or testimonials.
    • References/branding/logo of any products or services.
  4. It is the presenter’s responsibility to:
    • Make sure that the details of their webinar submission are complete and accurate, including their contact details, the BCI will not be responsible for any inaccuracies in the presenter’s submission if they have provided incorrect details e.g. wrong email addresses. The BCI will not be responsible for any inaccuracies if the presenter has provided incorrect information.
    • Collaborate with the BCI in all matters relating to their webinar.
    • Make sure to be available online promptly at the notified start time of the webinar.
    • To notify the BCI in advance if they are not able to present their webinar.
    • To join the session at least 15 minutes ahead of the start of the webinar to allow set-up to be done appropriately. If the presenters have not joined the webinar within 5 minutes of the start time, the booking will be deemed to be cancelled.
    • Submit their slides five working days ahead of the webinar. The BCI reserves the right to cancel any webinar at any time if the slides do not match the topic initially submitted by the presenters.
    • Ensure to have suitable internet access and devices to access the webinar. The BCI will not be liable for any technical issues that may arise as a result of the presenter’s failure to ensure their devices are compatible with access to the webinar platform.
  5. Presenters are required to use the PowerPoint template provided by the BCI, no other template will be accepted. The BCI reserves the right to cancel the session at any time if the template is not used on the day of the webinar.
  6. Ahead of the webinar, the BCI will submit instructions on how to access and run the Zoom Events platform, the speakers are expected to read through the instructions and check their system requirements.
  7. The BCI will not be sharing data on webinars’ attendees and/or registrants unless there is a data-sharing agreement in place with the presenters – this only applies to corporate sponsors.
  8. The dates and timeslots available are fixed and cannot be changed.
  9. Once the presenter has selected the title for the webinar and submitted the details, they will not be able to change this. The selection of the webinar title is limited to the list provided by the BCI and the selection of the presenters will work on a first come first serve basis – meaning that once a title is selected it will not be available anymore.  
  10. The deadline to submit a webinar proposal is 7th April 2025 at midnight (BST) any proposals submitted after this deadline will not be considered as part of the BCAW+R 2025 campaign.
  11. Any webinar proposal must be submitted via the form on the BCI website; no webinar proposal will be accepted via email.
  12. The webinars will be available on-demand in the BCI Knowledge Library after BCAW+R 2025 only to BCI Members.
  13. Promoting the webinars. The BCI reserves the right to promote the webinar programme and each webinar session as it deems suitable. The presenters will be provided with a banner and link if they wish to share their session through their channels – please note the link provided by the BCI is the one to be used to promote the webinar, no other link will be acceptable. The BCI reserves the right to cancel the session at any point if this clause is not respected.  
  14. The BCI reserves the right to reject any content that is considered to be of a commercial / sales/marketing nature without providing any reason.
